Serials Module

The Adlib Serials module is one of the optional extensions of the Adlib Library. It goes without saying that the Adlib Serials module integrates with the other modules of the Adlib Library like the catalogue module, the acquisitions module and the loans module.

Integrated

The Serials module is integrated with the Catalogue module. Bibliographical information entered in the Catalogue can be called up in the Serials module, and holding and issue details in the Serials module are immediately visible in the Catalogue and Public Access modules, allowing you to check the most recently received issue at a glance. Supplementary files, such as those for suppliers, cost centres and letters, are shared with other Adlib modules, saving time and storage space, and promoting the consistency of data.

Comprehensive

The Adlib Serials Module makes light work of the traditionally time-consuming and repetitive business of subscription management. Issues received are checked in quickly, simply and flexibly. Serials can be circulated among readers; cost centres and payments are kept track of; and your letters to suppliers can be compiled and printed or e-mailed automatically

User friendly

The Serials module uses the Adlib for Windows program. This means that you have all the basic functions and features of Adlib Library at your disposal, such as clearly structured screens and context-sensitive help. You have a choice of languages in which to work. All the main features are accessible from the main menu

Notifications

Notices can be sent out to readers who are late in returning issues on- loan from the library. Notices can be sent by letter or by email. You can also print a list of readers who are late in returning issues they borrowed. Letters to suppliers whose anticipated issues have not been received can be printed out periodically. You can also opt for a printed list of this information. If an issue is no longer available, a note can be entered into the delivery information to prevent any more notices from being generated.

Budget management

By allocating the costs of serials to cost centres you can keep track of your finances easily and conveniently. Payments can be divided among a number of cost centres. You can record payments as often as you wish, and payment in instalments is also possible. Details of payments are saved so that you can consult them at a later date. Budgets can be linked to subscriptions and to readers.

Updating

After a certain period, the receipt history can be cleared up. This can be done either automatically or manually. If clearing takes place automatically, issues older than a period specified by the user are removed. If desired, data pertaining to removed issues can be kept as holding data.

Internet / Intranet

The Adlib Internet Server makes it possible to make serials data available on the Internet or an intranet. This allows readers to check the latest available issue, for instance.

An overview of the functionality

Checking-in deliveries

Based on the data on issues already received, a prediction is made of which issue is expected and when it is due. This can save you a great deal of work, because all you have to do is indicate how many copies you receive of an issue. Irregularities are never a problem, because you can add extra issues at any time, make combinations of issues, and record supplements

Circulation

The Serials module supports three types of circulation: uncontrolled circulation (circular routing), controlled circulation (radical routing), and a combination of the two. Several distribution lists can be linked to each subscription. Readers can be excluded from a list, either temporarily or permanently, e.g. while they are on holiday. The layout of the circulation lists can be modified and is automatically printed upon check-in of the issue.

Letters

The Serials module supports various types of letters, all of which can be printed automatically, letters can also be sent by e-mail of course. Texts and lay-outs of letters can easily be altered. You can link a letter to a supplier and in doing so, you can select the text you want to use for that specific supplier. This feature also means you can have write letters in a variety of languages.
